Privacy & Data Management Policy
Version 2026-10-04. Draft wording — to be reviewed by Wier Financial's legal and compliance advisers before launch.
This policy explains how Covermate handles personal and business information, consistent with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
1. What we collect
- Account details: your name and email address.
- Business answers: industry, description, revenue band, staff, premises, plant and activities.
- Insurance documents you upload (schedules, wordings, endorsements, certificates) and the facts extracted from them.
- Contact phone and preferred time, only if you request a review.
2. How we use it
Only to read your documents, compare them with your answers and prepare your report — and, if you ask, to pass your review request to Wier Financial.
3. AI processing
- Documents and answers are sent to AI models through a secure business API solely to extract facts and prepare your report.
- Your information is never used to train public AI models.
- Private disclosures you make to a broker are kept separately and are never sent for AI analysis or included in reports.
4. Storage and security
- Files are kept in private storage, accessible only to members of your business and, after you consent, authorised Wier Financial staff.
- Access is enforced on the server for every record and download. Data is encrypted in transit and at rest.
- Reports cannot be edited by customers, so a report always reflects what was actually analysed.
5. Sharing with Wier Financial
Your information stays private to your business until you request a review and tick the consent to share. We record what you agreed to, when, and which report and documents were shared. Broker notes are internal and never appear in your exports.
6. Retention and deletion
- You can delete any uploaded document from My Files at any time; the file is removed from storage.
- To delete your account and business data, contact [privacy contact email to be confirmed]. Records we must keep by law are retained only as long as required.
7. Access, correction and complaints
You can ask to access or correct your information, or make a privacy complaint, at [privacy contact email to be confirmed]. If you are not satisfied, you may contact the Office of the Australian Information Commissioner (oaic.gov.au).
